Overview

The Senior Administrator provides high‑level administrative, operational, and coordination support to department leaders and cross‑functional teams. This role requires strong organizational capability, independent decision‑making, and the ability to manage complex workflows in a fast‑paced environment. The ideal candidate brings mature administrative judgment, excellent communication skills, and a strong ability to partner with stakeholders at all levels.

Key Responsibilities

Advanced Administrative Support

  • Prepare polished letters, memos, reports, and presentations using advanced formatting and software skills.
  • Draft, edit, and finalize departmental communications, ensuring clarity, accuracy, and appropriate cultural tone.
  • Manage incoming requests, inquiries, and correspondence; respond on behalf of leadership when appropriate and authorized.

Calendar, Meeting & Event Coordination

  • Maintain and coordinate detailed calendars for leaders, including prioritization of meetings, action items and alignment with business needs.
  • Schedule meetings, video conferences, and conference calls, ensuring all logistics and materials are prepared in advance.
  • Support planning and delivery of departmental meetings such as team meetings, off‑sites, team events, recognition activities, all hands meeting, and workshops .

Operational Support & Workflow Management

  • Receive, organize, and distribute mail, messages, and documentation; determine priority and initiate action when appropriate.
  • Support travel planning and itinerary coordination through corporate travel systems.
  • Assist in maintaining departmental documents, workflows, standard operating procedures, and process improvements.

Project, Reporting & Data Management

  • Conduct research, gather information, and compile data to support team projects and leadership decision‑making.
  • Develop, update, and run reports; validate data accuracy and maintain tracking tools, logs, or dashboards.
  • Participate in special projects such as facility coordination, vendor support, documentation updates, or departmental audits.

Cross‑Functional & Stakeholder Collaboration

  • Act as a central point of contact for the department, maintaining positive working relationships with internal teams, vendors, and external partners.
  • Partner with HR, IT, Finance, Procurement, and other groups to facilitate administrative processes and ensure operational continuity in the office.
  • Support onboarding activities (badging and IT access), resource planning, and departmental communications.

Functional Knowledge

  • Demonstrates proficiency in advanced administrative procedures, organizational systems, document management, and workflow optimization.
  • Applies knowledge of business operations to support team objectives and maintain smooth day‑to‑day functions.

  • Understands how departmental priorities integrate with broader organizational goals.
  • Anticipates needs and ensures tasks, deadlines, and communications align with leadership expectations.

  • Provides informal guidance to administrative peers; supports departmental best practices and process improvements.

The salary offered to a selected candidate will be based on multiple factors including location, hire grade, job-related knowledge, skills, experience, and with consideration of internal equity of our current team members. In addition to a comprehensive benefits package, candidates may be eligible for other forms of compensation such as participation in a bonus and a stock award program, as applicable.

For all sales roles, the posted salary range is the Target Total Cash (TTC) range for the role, which is the sum of base salary and target bonus amount at 100% goal achievement.
