Job Summary:

The HR Shared Services Specialist (On-Site) will be a key point of contact for employees, providing on-site HR support and ensuring that all HR-related inquiries are addressed promptly and efficiently. You will be the first point of contact for HR queries, delivering a high level of customer service to employees and managers. The successful candidate will possess strong interpersonal skills, attention to detail, and the ability to maintain confidentiality.

The roles and responsibilities for this role are listed below but not limited to -

Key Responsibilities:

Day 1 Support:

  • Coordinate new hires’ onboarding tasks
  • Support Day 1 New Hire Orientation – Santa Clara, CA
  • Support / facilitate New Hire paperwork collection
  • Facilitate New Hire Briefing (Virtual and in person)

I9 Support:

  • Support new i9 verification and Re-verification requests
  • Support with federal government audit and requirements

Repository Support:

  • Monitor and Process requests
  • Maintain Employee Files and Records

Reporting Support:

  • Run and Distribute Weekly Reports

Offboarding support:

  • Conduct Exit interviews
  • Handle documentation

  • Executes HR administrative and operational processes accurately and efficiently.
  • Applies intermediate HR knowledge to ensure compliance with policies and procedures.
  • Uses analytical skills and structured methods to complete HR tasks effectively.

  • Understands how HR activities support organizational objectives and integrates team efforts with broader business goals.
  • Aligns work priorities with company standards and compliance requirements.

  • Communicates clearly and professionally to exchange information and maintain effective relationships.

  • Maintains attention to detail to minimize errors and uphold HR standards.

Requirements

  • Extremely organized, high energy, optimistic, creative, fun, self-motivated, collaborative, hands on, detail oriented, flexible and team player
  • Customer service experience with demonstrated ability to effectively assess customer’s needs, quickly respond and problem solve required
  • Good Interpersonal and Communication Skills
  • Able to multitask in a fast- paced environment
  • Computer Literacy, knowledge of Microsoft Office (Word, Excel, PowerPoint and Teams)
  • Knowledge of HR Technology, Workday, i9, DocuSign, First Advantage and OnBase is a plus

Qualifications

  • High school diploma required
  • Bachelor’s degree in related field or equivalent experience is a plus
  • Minimum 2 years of working in a corporate high volume environment

The salary offered to a selected candidate will be based on multiple factors including location, hire grade, job-related knowledge, skills, experience, and with consideration of internal equity of our current team members. In addition to a comprehensive benefits package, candidates may be eligible for other forms of compensation such as participation in a bonus and a stock award program, as applicable.

For all sales roles, the posted salary range is the Target Total Cash (TTC) range for the role, which is the sum of base salary and target bonus amount at 100% goal achievement.
