Position Overview
We are seeking a highly organized and proactive Project Coordinator to support a team of 13 engineers in a fast-paced office environment. This role is critical in ensuring smooth operations by managing logistics, coordinating office activities, arranging meetings, and facilitating timely delivery of parts and materials. The ideal candidate is detail-oriented, resourceful, and thrives on keeping projects and processes running efficiently.

Key Responsibilities
Office Coordination
Serve as the primary point of contact for office-related needs.
Maintain office supplies and ensure a well-organized workspace.
Schedule and coordinate team meetings, including preparing agendas and meeting notes.

Shipping & Logistics
Manage incoming and outgoing shipments for engineering projects.
Track and confirm deliveries, ensuring timely arrival of parts and equipment.
Liaise with vendors and shipping providers to resolve issues promptly.

Procurement & Inventory
Order parts, tools, and materials as requested by engineers.
Maintain accurate inventory records and monitor stock levels.
Negotiate with suppliers for cost-effective purchasing.

Trip Planning & Meeting Coordination
Organize agendas and schedules for off-site visits, customer meetings, and project-related trips.
Coordinate meeting logistics, including venue arrangements, materials preparation, and attendee communication.
Ensure all stakeholders are informed and aligned on trip objectives and timelines.

Project Support
Assist engineers with administrative tasks related to project timelines and documentation.
Update project trackers and ensure deadlines are met.
Communicate status updates to stakeholders as needed.
